Information about the processing of your personal data in connection with the ‘Symposium on Foresight and Technology Planning’ at the University of Paderborn (Berlin, 7–8 October 2026) in accordance with Article 13 of the General Data Protection Regulation (GDPR)

This privacy policy describes the processing of your personal data in connection with the ‘Symposium on Foresight and Technology Planning’ at the University of Paderborn (Berlin, 5-6 December 2024). In doing so, the University of Paderborn complies with its information obligations pursuant to Art. 13 of the EU General Data Protection Regulation (hereinafter: GDPR). With regard to the terms used below, e.g. ‘personal data’, “processing”, ‘controller’, etc., reference is made to the definitions in Art. 4 of the GDPR.

2. Data category/categories, purpose/purposes and legal basis/bases for the processing of your personal data

The following personal data, including photos and video recordings, will be processed for the following purposes:

For the purposes of contact management, registration and participation in the symposium: First name, surname, title, address, email address, company, institute, telephone, fax, information ‘author/co-author/guest at the symposium’, information on catering at the symposium (vegetarian, vegan, food intolerances)

 

For the purpose of reporting: production and publication of photos and videos during the symposium

 

For the purpose of inviting participants to follow-up events: contact details of participants

 

The legal basis for this processing of your personal data is your consent in accordance with Art. 6 (1) (a) GDPR (or Art. 88 GDPR in conjunction with § 18 (1) DSG NRW, if applicable) (production of recordings with persons in the foreground) and pursuant to Art. 6 (1) (a) GDPR (if applicable, Art. 88 GDPR in conjunction with § 18 (1) DSG NRW) or § 22 KUG (use of recordings with persons in the foreground).

 

The processing of the above-mentioned additional personal data is also based on Art. 6 (1) (a) GDPR (if applicable, Art. 88 GDPR in conjunction with Section 18 (1) DSG NRW).

3. Recipients of your personal data

Subject to the data processing described below, no personal data will be transferred to countries outside the European Economic Area and associated countries (no ‘third country transfer’).

 

The registration data for the symposium will be processed by the following website service provider: Wix.com Ltd., Nemal St. 40, 6350671 Tel Aviv, Israel, telephone number: +972 (3) 545-4900, fax: +972 (3) 546 6407, email address: support@wix.com.

 

  • Photo and video recordings (possibly including names and employers) will be used for: Publication and reporting on the conference website of the service provider Wix.com Ltd.

  • on the LinkedIn channel of the Advanced Systems Engineering department at Paderborn University at https://www.linkedin.com/company/advanced-systems-engineering/

You should also be aware of the following if your personal data and/or recordings are made available on the internet:

The University of Paderborn points out that whenever personal data is published on the Internet, it can be accessed by anyone worldwide, including with the help of search engines (e.g. Google). In this way, personality profiles can be created by linking this data with other data about you available on the Internet. Similarly, the data may be used by third parties for other purposes without the University of Paderborn having any control over this. Archive functions of search engines (see, for example, www.archive.org) may still allow access to the data even if it has already been removed or changed from the above-mentioned University of Paderborn websites. When your personal data is used on the internet, it may also be transferred to countries outside the EU and stored and used there for unknown purposes. It is possible that the data protection laws or regulations in the recipient country, or their application, offer a lower level of protection than in the EU and that you cannot assert your rights there.

5. Duration of storage of your personal data

The personal data described above (in this case: registration data) will be stored for five years for the specified purpose, subject to the withdrawal of your consent, in accordance with the guidelines on the storage, archiving and destruction of documents at the University of Paderborn dated 6 December 2021 (Official Notices 63.21) (here: conferences and symposia). In addition, retention periods may apply.

 

Publications and reports will be stored permanently until revoked.

6. rights of data subjects

As a data subject, you may exercise your rights under the GDPR at any time. These rights are:

 

  • the right to obtain information about whether and which of your data is being processed in accordance with Art. 15 GDPR; § 12 DSG NRW;

  • the right to request the correction or completion of data concerning you in accordance with Art. 16 GDPR;

  • the right to erasure of data concerning you in accordance with Art. 17 GDPR;

  • § 10 DSG NRW

  • the right to restriction of processing of data concerning you in accordance with Art. 18 GDPR;

  • the right to data portability of data concerning you in accordance with Art. 20 GDPR.

7. Revocability of your consent and objection to the processing of your personal data

The consent you have given to the processing of your personal data, including photo and video recordings, can be revoked in whole or in part at any time without giving reasons with effect for the future. This does not affect the lawfulness of the data processing carried out on the basis of the consent until revocation (Art. 7 (3) GDPR). If you revoke your consent, your personal data may no longer be processed unless there is another legal basis for the processing (Art. 17(1)(b) GDPR). You have the right to object, on grounds relating to your particular situation, at any time to the processing of personal data concerning you which is carried out on the basis of Art. 6(1)(e) GDPR, in accordance with Art. 21 GDPR. The right to object pursuant to Art. 21 GDPR against a public body does not exist if there is an overriding public interest in the processing that outweighs the interests of the data subject, or if a legal provision requires the processing (Section 14 DSG NRW). 8. Right to appeal

In addition to the rights mentioned above, you have the right to lodge a complaint with the data protection supervisory authority (Art. 77 GDPR) if you believe that the processing of your personal data violates data protection requirements; for example, to the State Commissioner for Data Protection and Freedom of Information of North Rhine-Westphalia, Kavalleriestr. 2-4, 40213 Düsseldorf, telephone: 0211/38424-0, email: poststelle@ldi.nrw.de.
